Free hospital rota template (Excel)
A clean, ready-to-use Excel template for hospital on-call rotas — the same structure most departments run on: duties down the side, days across the top, a post-call row, and a fairness tally. Free, no email required.
What’s inside
- A week grid with consultant, registrar and SHO on-call rows, theatre and clinic rows, and a protected post-call row
- A fairness tally sheet to track on-calls, weekends, nights and leave per person
- A short how-to so anyone on the team can maintain it
How to use it
For the full method, see our guide: How to make an on-call rota.
Where the spreadsheet stops working
A template like this works well for a small team with a stable pattern. In practice, three things break it over time. First, the fairness tally depends on someone updating it by hand every single week — miss a few weeks and nobody trusts the numbers. Second, post-call rules and leave conflicts have to be checked by eye, and the one weekend they’re missed is the one everyone remembers. Third, the moment the rota changes after it’s been emailed, every printed and saved copy is out of date.
That is exactly where RotaOS picks up: the same rota structure, but generated, checked, and shared automatically.
